CoPeSe Privacy Policy

At CoPeSe, we collect and manage user data according to the following Privacy Policy, with the goal of incorporating our company values: transparency, accessibility, sanity, usability. By using CoPeSe, you agree to the terms of this Privacy Policy and the User Policy. 

Data Collected

We collect anonymous data from every visitor of the Website to monitor traffic and fix bugs. For example, we collect information like web requests, the data sent in response to such requests, the Internet Protocol address, the browser type, the browser language, and a timestamp for the request.

We ask you to log in and provide certain personal information (such as your name, email address, picture, professional information, etc.) in order to be able to save your profile and the documents and comments associated with it. In order to enable these or any other login-based features, we use cookies to store session information for your convenience. You can block or delete cookies and still be able to use CoPeSe, although if you do you will then be asked for your username and password every time you log in to CoPeSe. 

You can view, change and remove your data associated with your profile. 

Minors and children should not use CoPeSe. By using the website, you represent that you have the legal capacity to enter into a binding agreement.

Use of the Data

We only use your personal information to provide you the CoPeSe services or to communicate with you about the services or the website or newsletter.

We employ industry standard techniques to protect against unauthorized access of data about you that we store, including personal information.

Sharing of Data

We don’t share your personal information with third parties. Only aggregated, anonymized data is periodically transmitted to external services to help us improve the CoPeSe Website and service. We currently use Google Analytics (traffic analysis, SEO optimization) and SendGrid (mailing list management). Feel free to check out their own Privacy Policies to find out more about what data these third parties extract exactly.

We also use social buttons provided by services like Twitter, Google+, LinkedIn and Facebook. Your use of these third-party services is entirely optional. We are not responsible for the privacy policies and/or practices of these third-party services, and you are responsible for reading and understanding those third party services’ privacy policies.

Information on the newsletter and consent

We are providing you with the following information to explain the content of our newsletter and website as well as the registration, dispatch and statistical evaluation processes and your right of objection. By registering for a CoPeSe free or paid account and or for our newsletter, you agree with the described processes and to the receipt of CoPeSe emails.

Content of our emails (newsletter)

We only send emails and other electronic notifications with advertising material (referred to hereinafter as the “newsletter”) with the consent of the recipients or legal permission. If specific content of the newsletter is altered during the registration process, this content is essential for the consent of the users. Our emails contain information on Conflict Transformation, Peacebuilding and Security related issues. We can also send you promotional content.

Double opt-in and recording process

Registration for our newsletter is completed as part of a double opt-in process. This means you will receive an email after registering in which you will be asked to confirm your registration. This confirmation is required so that nobody can register with email addresses that do not belong to them.

The newsletter registrations are recorded in order to be able to verify the registration process in accordance with legal requirements. This includes storing the time of registration and confirmation and the IP address. 

Use of the email service provider “SendGrid”

The newsletter is dispatched by “SendGrid”.

The email addresses of our newsletter recipients and their further details described in this information are processed on the SendGrid servers in Herndon, VA; Las Vegas, NV; and Chicago, IL. SendGrid uses information to send and evaluate the newsletters on our behalf. SendGrid can by its own admission also use this data to enhance or improve its own services, e.g. to technically enhance the dispatch procedure and display of the newsletter or for commercial purposes to be able to determine which countries the recipients are from. However, SendGrid will not use the data of our newsletter recipients to contact them itself or forward it to third parties.

We trust the reliability, IT security and data security of SendGrid. SendGrid adheres to the Safe Harbor Principles as agreed to and set forth by the United States Department of Commerce and the European Union (“EU”). You can view the SendGrid/twilio privacy policy here.

Login details

You only need to provide your name and email address to register for the newsletter. If you also provide further private and/or professional information we are able to personalize and enhance our services.

Statistical survey and analyses

SendGrid, our email processing partner, retrieves information to make technical improvements to services based on technical data or the target groups and their reading behavior based on their retrieval locations (that can be determined with the IP address) or access times.

The statistical surveys also involve determining whether the newsletters are opened, when they are opened, and which links are clicked on. This information may be assigned to individual newsletter recipients for technical reasons, but it is neither our intention nor that of SendGrid to monitor individual users. The evaluations instead help us to recognise the reading habits of our users and to adapt our content to them or to send different content based on our users’ interests.

Termination/Revocation

You may opt-out of receiving our newsletter at any time, i.e. withdraw your consent. This means you also no longer consent to the distribution of this newsletter via SendGrid and the statistical analyses.

General Data Protection Regulation legal bases

According to the guidelines of the General Data Protection Regulation (GDPR) valid from 25 May 2018, we hereby inform you that you have consented to your email addresses being sent based on Art. 6 Para. 1 lit. a, 7 of the General Data Protection Regulation (GDPR) and § 7 Para. 2(3) or Para. 3 of the Unfair Competition Act (UC). The email service provider SendGrid is used, the statistical surveys and analyses are performed and the registration procedure is recorded based on our legitimate interests pursuant to Art. 6 Para. 1 lit. f of the General Data Protection Regulation (GDPR). Our interests focus on the use of a user-friendly and secure newsletter system that serves our business interests and meets user expectations.

We also wish to point out that you can object to the future processing of your personal data at all times in accordance with the legal regulations pursuant to Art. 21 of the General Data Protection Regulation (GDPR). Specifically, the objection can be made against processing for direct marketing purposes.
